Job Description:
A Receptionist is responsible for welcoming visitors and clients, answering phone calls, and performing administrative duties such as scheduling appointments, maintaining records, and handling correspondence. The Receptionist is the first point of contact for visitors and clients, and is expected to provide excellent customer service while maintaining a professional demeanor.
Duties and Responsibilities:
- Greet visitors and clients in a professional and friendly manner.
- Answer incoming phone calls and transfer to appropriate staff members.
- Schedule appointments and maintain calendar for staff.
- Maintain and update records and databases.
- Handle incoming and outgoing mail and email.
- Perform general administrative duties such as filing, faxing, and copying.
- Monitor and maintain office supplies and equipment.
- Assist with special projects as assigned.
- Provide excellent customer service and handle inquiries and complaints.
- Maintain a clean and organized reception area.
Qualifications:
- High school diploma or equivalent.
- Strong verbal and written communication skills.
- Excellent customer service skills.
- Proficient in Microsoft Office and other relevant software.
- Ability to multitask and prioritize tasks.
- Attention to detail and accuracy.
- Ability to work independently and as part of a team.
- Professional demeanor and appearance.
- Experience in a similar role preferred.
Physical Requirements:
- Ability to sit or stand for extended periods of time.
- Ability to lift up to 20 pounds.
- Ability to use a computer and telephone for extended periods of time.
